Privacy Policy — Claim Mate

This Privacy Policy explains how Claim Mate collects, uses, and protects your personal information in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).

Where Claim Mate may be exempt as a small business operator, we still follow the APPs as a matter of good privacy practice.

1. Information We Collect

We may collect:

  • Contact information (e.g. email address and name)
  • Account identity information provided through our authentication provider Clerk (Clerk Inc.), including a unique account identifier associated with your account used to link your business and expense records
  • Business information
  • Expense data and receipt images
  • Trip information including addresses you enter
  • Usage and diagnostic data

Business details, expenses, trip records, and receipt images are uploaded from your device to Claim Mate's backend systems and stored on our servers and supporting cloud infrastructure.

2. How We Use Your Information

We use your information to:

  • Provide and improve the Service
  • Generate expense and trip reports
  • Communicate with you about your account
  • Authenticate and manage your account login
  • Create and maintain your user account required to use the Service
  • Process payments and subscriptions

3. Trip Addresses & Financial Data

Claim Mate does not track or collect your device's real-time location.

Trip distances are calculated using the start and end addresses that you manually enter into the app. These addresses are processed by our mapping provider Google Maps (Google LLC) for route and distance calculation.

Financial information such as receipts and expense details is uploaded and stored securely for record-keeping and reporting purposes only.

4. Third-Party Services

We may use trusted third-party providers for:

  • Payment processing
  • Receipt OCR and image processing
  • Cloud hosting and analytics
  • Authentication (Clerk – Clerk Inc.)
  • Mapping and address calculation (Google Maps – Google LLC)

These providers only access data necessary to perform their services and are required to handle it securely.

5. Data Storage & Security

We take reasonable steps to protect your information using industry-standard security measures. However, no system is completely secure.

Your business data, expenses, trip information, and receipt images are stored on Claim Mate's backend servers and on infrastructure provided by our trusted cloud hosting providers.

6. Data Sharing

Claim Mate does not sell your personal information to third parties.

We only share data with service providers necessary to operate the app (such as authentication, hosting, mapping, and payment processing) and only to the extent required for those services to function.

7. Data Retention

We retain personal information only as long as necessary to provide the Service, maintain your account history, or meet legal obligations.

8. Your Rights

You may:

  • Request access to your data
  • Request correction or deletion
  • Withdraw consent where applicable
